Introduction

If an uploaded document has been revised, you can use the "Replace" feature to overwrite the existing file with the new version. Replacing documents in the Warehouse allows you to keep your File Groups up to date, as the links within the groups will automatically point to the replaced copy of the document.

Images can also be replaced, however, each Image Size must be replaced indpendently of the others. The revised image(s) must also be at the exact resolution assigned to the Image Size(s) being replaced, in order to be displayed correctly on the site.

The following tutorial explains the process for replacing both documents and images.

Step 1: Navigate to the "Files" Section
After logging into The Digital Bell, mouse over the Warehouse link, located in the menu at the top of your Digital Bell Dashboard. Next, click the "Files" link, in the drop-down menu. This will bring you to the "Files" section. Return to Top
Step 2: Edit the File
Depending on the type of file you will be replacing, click the "Images" or "Documents" link, to view the list of files. Locate or use the "Quick Search" box to find the appropriate file, then click the Edit button (pencil icon) to the left of the title. This will bring you to the "Edit Document" / "Edit Image" page. Step 3: Replace the File

  • To replace a document, click the "Replace" file link, located under the "Document Options" heading in the right margin.

  • To replace an image, first locate "Image Information" heading in the right sidebar of the page. Under this heading, you will find subheadings listing the various Image Sizes. Locate the Image Size you will be replacing, then click the "Replace Image" link beneath its subheading. Ensure that the replacement image is at the resolution listed for the Image Size.

After clicking the link, you will be forwarded to the "Replace File" form. Here, click the "Choose file" button, then navigate to the file's location on your computer. Once you have located the appropriate document/image file, double click it to select it, then click the "Submit" button to upload the new file.

After the upload is complete, you will be presented with the "Edit Document" / "Edit Image" form. Here, you can retitle the image/document, add an optional abstract (short summary of the file). Labels can also be attached at this time, through the "Affiliations" section.

If supported by your Web site, replaced documents also have the option to be "featured" or "unfeatured," and assigned an associated image. If applicable, the number of pages in the document can also be entered. If your site does not support these features, or you are unsure, these sections can be ignored.

Once you have completed the form, click the "Submit" button to complete the process and return to the file list.
