Introduction

This page shows how to create a new subsciption and populate it with subscribers.  First things first, you need create a subscription before you add subscribers to it.  There are seperate walkthroughs for btoh creating a subscription and populating a subscription.

Create a New Subscription

Step 1 - Click Add new Subscription

Mouse over the Communication Tools tab and scroll down the drop down menu and mouse over Subscribers; then click "Manage Subscriptions."  Now look in the right margin of the page to the "Add new Subscription" button.

 

Step 2 - Complete the form

Clicking the "Add new subscription" button will lead you to this form that you see below.  It is split into sections.  The bullets below each image describe the fields for that specific section.  Follow through these images to complete the form and move on to the next step.

Display Information

  • Title:  Enter the name of the subscriber list.
  • Name:  This is the internal designating name.
  • Is Active:  This decides whether this subscriber list is functional or not.

Settings

  • Is Default:  Used to determine if this is the default list that will be selected when you send an email with the system. You can only have one default, so the default option is "No".

Affiliated Content

  • Label Types:  Choose any label types you would like to associate with this subscriber list.  (You may need to edit the label type first.)

Finish - Click Submit

Click the Submit button and your new subscription will be visible in the list of subscriptions.  Once you have the subscription created, you can move on to populate this subscription with subscribers.  That walkthrough is the next section of this page.

Populate the Subscription

Step 1 - Create an Email List to Import

In short, click "Import Subscribers" in the drop down menu under Communication Tools -> Subscribers.  Then either browse for the email list you created or enter the list of emails in the Data section and click submit.

You can create the list with any word processing program that will allow you to save a ".csv" extension (there is an example subcriber list at the bottom of this page).  If you want to import numerous email addresses then use a word processing program, otherwise you can enter that data as shown in the image below (to get to that window click "Import Subscribers" in the drop down menu under Communication Tools -> Subscribers).  When you are creating a list of emails to import, start by entering the overall format of the data on the first line (ex. EMAILADDRESS,FIRST,LAST).

 
It is important that the columns be labeled as indicated and proper formatting is maintained.

Also, it is important there is no blank line at the bottom of the file. To ensure this, you can place your cursor at the bottom of the document (last line) and hit your Backspace key. The cursor should be at the last character of the last data line of the file. If any white space is below the cursor, the import will fail due to formatting issues.

In summary, click "Import Subscribers" in the drop down menu under Communication Tools -> Subscribers.  Then either browse for the email list you created or enter the list of emails in the Data section and click submit.

 

Step 2 - Complete the 2nd Form

On the next page, you should see the first entry of your file as the Sample Data. You may need to use the Column selector to the left to match up the data you are trying to import. In this example, EmailAddress was correctly selected, but we had to select "FirstName" to match the First Field and "LastName" to match our Last field.

  • Subscriptions:  Click the expand all option to show all active subscriptions. In this list, we can see the new subscription we create, "Example" so you would check the box of the subscription you wanted to import to.
  • Labels:  Click expand all and if you choose, select any labels you wish to apply to these subscribers. The label designation is an optional field and does not need to be changed.
 

Finish - Click Submit!

Click Submit and the next page will tell you the Import has been Queued. The import process typically runs every 60 secondhand processes up to 1000 records a minute So depending on the size of your import and system load, the entire process can take from a few minutes to several hours.
